From work order to paid, without the spreadsheet.
ClearField runs the whole job for the vendors who maintain big rental portfolios. Work orders land in your landlord's format, site photos become an AI-drafted bid, then dispatch, the invoice, and the margin on every job. One screen, every market you work.
- Materials · 50-gal heater, fittings$486
- Labor · 2.5 hr$212
- Haul-away + disposal$65
The big single-family-rental and build-to-rent portfolios (think Tricon, Invitation Homes, the REIT-owned operators) push out work orders by the hundred, in their format, against NTE caps and SLA clocks. That standard broke the spreadsheet years ago. ClearField exists so their vendors can meet it, and make money doing it.
Wall Street owns the houses. ClearField runs the work.
Over the past decade, institutional money bought the American rental house. Portfolios of tens of thousands of homes, run by REITs, with software for everything: leasing, pricing, portals, NTE rules, SLA clocks. Everything except the work.
The maintenance that keeps those portfolios standing is done by local vendors, and nearly all of them run on Excel, a camera roll, and somebody's inbox. Every work order crosses that gap: it leaves an institutional system, lands in a manual back office, and comes back as an invoice weeks later with the margin unknown.
We think that gap is the biggest unbuilt system in real estate. The landlord side is crowded with software. The vendor side, the layer that actually touches the property, has almost none. ClearField is that system: it runs the job from intake to paid and knows the margin on every one.
The houses got institutional. The work is next.
The layer between the portal and the trades ran on Excel, a camera roll, and somebody's inbox. ClearField is that layer, built.
An institutional work order, a manual back office. Every dollar in this industry crosses that gap.
You already win the work. What leaks is everything between the work order landing and the money clearing: bids sitting un-quoted, finished jobs un-billed, margin nobody sees until the month closes. ClearField is that middle, made into a system.
Four tools, none of them talking.
- × Excel for pricing, rebuilt from memory on every job.
- × Adobe or Word to lay out a client-format PDF.
- × A camera roll of site photos nobody can find later.
- × Sub compliance tracked in someone's inbox.
- × The real margin is a guess until the month closes.
One system of record, intake to paid.
- ✓ Work orders land in your landlord's format, triaged on arrival.
- ✓ Site photos become a priced, line-item bid in about a minute.
- ✓ The margin shows before the quote goes out, per job.
- ✓ Subs are gated on live compliance, no manual chasing.
- ✓ Approved bid becomes a tracked invoice in one click.
A control room, not a filing cabinet.
Everything between the work order and the money runs through one system, with the margin visible the whole way.
Dispatch board and live map
See every crew on a live board and a live map. Route by skill, location, and who actually makes money on that kind of job.
AI bid and cost engine
Photos in, a line-item bid out. Priced into materials, labor, and subs. NTE-checked before it leaves. You review and send.
P&L on every job
Revenue, materials, labor, margin, on one line. Per job, per tech, per market. No waiting for the month to close.
Subs and compliance gate
Insurance, licenses, and docs live on the sub's profile. Out of date, they can't be dispatched. The gate does the checking.
Invoicing, A/R and A/P
Approved bid becomes an invoice in one click, tracked to paid. ClearField reads the money and never moves it, so your funds stay yours.
Multi-market from day one
Multi-org dispatch across regions, role-based all the way down to the field app. Add a market without adding a spreadsheet.
The board knows who makes money on what.
Every crew on a live board and a live map, coded by trade and status. The make-ready goes to the tech who runs 46% margin on make-readies, not whoever happens to be close.
- Live location and status for every tech, so you dispatch from what's actually happening in the field.
- Route by margin, not just distance. The board knows who profits on which trade.
- Techs never see financials. Role-based access, right down to the field app.
- Nearest Home Depot on every job. Material runs get planned into the route, not improvised mid-day.
The tech's whole day, on one screen.
The crew works from the same system of record you do. Their jobs, in order, on a phone. Bilingual, and it works offline in a basement or a stairwell.
- My Jobs, by priority. Assigned and in-progress work orders, each with its status a tap away.
- Shoot the job on site. Photos and notes captured in the app become the AI-drafted bid.
- Techs never see financials. Role-based access, right down to the field app.
Real screens from the ClearField field app. Job data shown is illustrative.
Site photos in. A priced, NTE-checked bid out.
This is the part that used to eat your evenings. Here's the whole path, from the tech on site to a PDF in your client's format.

The tech shoots the job.
Photos and notes, captured in the mobile app. Bilingual, and it works offline in a basement or a stairwell.
ClearField writes the bid.
Line items priced from the photos. Refine in plain language: "add haul-away, bump labor to 3 hours."
Out the door in your client's format.
A client-format PDF, checked against the not-to-exceed before it ever leaves your hands.
Every job in the company moves through the same seven stages.
Visible the whole way down, from intake to money in the account. One pipeline, no side channels, nothing living in someone's head.
Do the math on your week.
Assumes every work order gets a bid, the corporate-landlord standard. These are your numbers, moved by the sliders. Nothing here is a claimed result.
Governance the institutional side expects, running on the vendor side.
Multi-org dispatch across regions, role-based access down to the field app, and every action attributed to who did it, human or AI agent. The people in the field see their work. You see everything.
Software you can run yourself. Engineers you can put inside the operation.
Most teams run themselves on ClearField. Some operations are too big, too specific, or too far into their own way of working for any off-the-shelf tool. Corporate is for them: we embed in your operation, map it end to end, rank where AI actually pays, and prove it on your data before anyone commits to a build.
- The map. An on-site operations audit. We walk the real workflow and trace where the time and the margin actually go. The map is yours to keep, act on it with us or without us.
- The ranked use cases. The places where AI pays back hardest in your operation, ranked, with the architecture to run them.
- The prototype. Working software on your own data before we leave. Not a deck.
- The build. If it's a fit, we build the real thing together, from the map you now own.
We give you the map either way. The build is what we sell.
An engineer and an operator.
William Milner
Field-service engineer at ASML before this, forward-deployed inside customer fabs to keep the most advanced lithography machines in the world running. Airbus before that. He runs Lanyu Technologies and builds enterprise systems for clients today. Corporate is that same job, done for your operation.
Michael Carter
The operator side of ClearField. The accounts, the relationships, and the industry reality the platform is built to match.
What happens when the work has an operating system.
No invented numbers here. These are the parts of the job that get better when intake, bidding, dispatch, and billing stop living in separate tools.
Margin stops being a guess
You see profit per job before the quote goes out, not after the month closes. The board can route work to the crews that actually make money on it.
Bids go out the same day
Photos to a finished, client-format PDF in minutes, not an evening of typing. Faster bids mean more of them, and less work sitting un-quoted.
A/R stops leaking
Every approved bid becomes a tracked invoice, followed to paid. Nothing finished sits un-billed because it fell off a spreadsheet.
Governance is built in
Role-based access, subs gated on live compliance, every action attributed. The kind of control a corporate landlord expects from its vendors.
Bring three live work orders. We'll bid them on the call.
Thirty minutes with a founding partner. A real screen, not a deck. You watch your own work orders become priced, client-format bids.
See it run on your work orders.
You run maintenance for corporate landlords and the back office is eating your evenings. Bring your live work orders and watch the system bid them.
